Privacy Notice

Pawfile is operated by Jayden Oliver, who is the data controller for the personal data processed through the service. This notice explains what data we collect, why, who we share it with, how long we keep it, and the rights you have.

1. Data we collect

  • Account data — your name, email address and login credentials.
  • Pet profile data — the information you enter about your pets (name, breed, age, weight, medications, vaccinations, allergies, insurance details) and any documents or photos you upload.
  • Support data — messages you send us when asking for help.
  • Usage and technical data — how you use the app, device identifiers, IP address and similar telemetry used to keep the service secure and improve it.

Payment data (card details, billing address) is collected directly by Paddle as Merchant of Record; we never see or store your card details.

2. Purposes and legal basis

  • Providing the service (contract performance) — creating your account, storing your pet records, sending reminders you configure.
  • Security and fraud prevention (legitimate interests) — protecting accounts and the service.
  • Product improvement (legitimate interests) — understanding how the service is used so we can improve it.
  • Customer support (contract performance / legitimate interests).
  • Legal obligations — where we must retain or disclose data by law.
  • Marketing (consent, where required) — we will only send marketing emails where permitted, and you can opt out at any time.

3. Who we share data with

  • Service providers / subprocessors — hosting, analytics and support tooling providers who process data on our behalf under contract.
  • Paddle (Merchant of Record) — for the sale of subscriptions, subscription management, payment processing, tax compliance and invoicing. Paddle processes your purchase data under its own privacy terms.
  • Professional advisers — legal and accounting advisers where necessary.
  • Authorities — where disclosure is required by law.

We do not sell your personal information. Family members, carers or dog walkers only see a pet profile where you explicitly grant them controlled access.

4. Retention

We keep your personal data for as long as your account is active and as needed to provide the service. When data is no longer needed — for example after you delete your account — it is deleted or anonymised within a reasonable period, except where we must retain records to meet legal or tax obligations.

5. Your rights

You have the rights provided by data protection law in your country. Where UK/EU GDPR applies, these include the right to access, rectify, erase, restrict or port your data, to object to processing, and to withdraw consent at any time. You can exercise these by contacting us; we will respond within one month. You also have the right to complain to your supervisory authority (in the UK, the Information Commissioner's Office).

6. International transfers

Some of our service providers may process data outside the UK/EEA. Where this happens, we use appropriate safeguards such as standard contractual clauses or transfers to countries covered by adequacy decisions.

7. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit and access controls limiting who can access personal data.

8. Cookies

We use essential cookies (and similar storage) needed for the service to function, such as keeping you signed in and remembering your preferences. We do not use marketing cookies without your consent. You can control cookies through your browser settings; disabling essential cookies may prevent the service from working.
