Terms & Conditions
Last updated: 27 August 2026
These Terms & Conditions ("Terms") govern your use of Pawfile, a digital pet health passport and health-administration service operated by Jayden Oliver ("the Seller", "we", "us"). By creating an account or continuing to use the service, you agree to these Terms. You are contracting with Jayden Oliver.
1. The service
Pawfile is an organisational and administrative tool that helps pet owners store pet profiles, medical records, documents, medication and treatment schedules, insurance details, and receive reminders. Pawfile is not a veterinary service: it does not provide veterinary diagnosis, treatment, or medical advice. Always consult a qualified veterinarian about your pet's health.
We grant you a limited, non-exclusive, non-transferable right to use the service within the subscription plan you have selected (Free, Companion, or Concierge). Features vary by plan as described on our pricing page.
You must be of legal age to enter a binding contract, or have authority to bind the organisation you use the service on behalf of. You must keep your account credentials confidential and are responsible for all activity under your account. You must provide accurate information and keep it up to date.
2. Acceptable use
You must not misuse the service. In particular, you must not:
- Use the service for any unlawful purpose, or to commit fraud or send spam.
- Upload content that infringes the intellectual property rights of others.
- Interfere with the security or operation of the service, including introducing malware, probing or scanning for vulnerabilities, or scraping the service.
- Reverse engineer the service, circumvent technical limits, or resell or redistribute access.
3. Intellectual property
We retain all ownership of the service and its intellectual property, including the software, documentation, and Pawfile branding. Nothing in these Terms transfers any of our IP to you.
You retain ownership of the content you upload (pet records, documents, photos). You grant us a limited licence to host and process that content solely to provide the service to you.
4. Payments, billing and subscriptions
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
Paid subscriptions (Companion and Concierge) are billed monthly in advance and renew automatically until cancelled. You can cancel at any time; cancellation takes effect at the end of the current billing period. Applicable taxes are calculated and collected at checkout.
Payment, billing, tax, cancellation and refund mechanics are governed by Paddle's Buyer Terms, which you can read at https://www.paddle.com/legal/checkout-buyer-terms. See also our Refund Policy.
5. Service level
We aim to provide a reliable service but do not guarantee that it will be uninterrupted or error-free. The service is provided "as is" and, to the fullest extent permitted by law, we disclaim all implied warranties, including merchantability and fitness for a particular purpose. Because reminders are important, you should not rely on the service as your sole means of tracking critical treatments.
6. Suspension and termination
We may suspend or terminate your access if you materially breach these Terms, fail to pay, present a security or fraud risk, or repeatedly or seriously violate our policies. You may delete your account at any time. When access ends, your data will be deleted within a reasonable period; where feasible we will offer an export window beforehand.
7. Liability
To the fullest extent permitted by law, our aggregate liability to you is capped at the fees you paid in the 12 months before the claim. We exclude liability for indirect, consequential, or special damages, including loss of profits, data, or goodwill. Nothing in these Terms excludes liability for fraud, death, or personal injury where such exclusion is not permitted by law.
8. General
You agree to indemnify us against claims arising from your content, your unlawful use of the service, or your breach of these Terms. You may not assign these Terms without our consent; we may assign them in connection with a merger or acquisition. We are not liable for failures caused by events beyond our reasonable control.
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except where mandatory consumer law gives you the protection of your local courts.
Questions about these Terms can be sent to us via the contact details on our website. If you have questions about an order, payment or refund, please contact Paddle via paddle.net.
